About Shire Christian School

Shire Christian School is a Prep to Year 12 co‑educational school in the Sutherland Shire. Established in 1977, the school has grown to almost 1,000 students and more than 140 staff. As a Christian learning community, the school’s educational philosophy is grounded in strong relationships and a nurturing environment that feels like family.

In this setting, students feel a deep sense of belonging, which gives them the confidence to take on new challenges, be stretched academically and personally, and ultimately flourish. Staff relationships are central to sustaining this culture, and Shire Christian School is strengthening its commitment to excellence in its operations, including the systems that support staff care.

Navigating payroll complexity in education

Operating within the education sector, Shire Christian School faced unique challenges in managing its people and payroll. Prior to implementing Aurion, the school relied on a system primarily designed for student administration. While it offered some HR and payroll functionality, it lacked the capability to handle the complexity of compliance requirements and term-time operations.

As a result, critical processes such as payroll cycles, leave approvals, and managing casual staff were manual and paper-based. With only a short window to process payroll every fortnight, the team faced constant pressure as tasks were time-consuming and prone to error.

“Our previous system was designed for student administration, not for the complexity of managing people and payroll. Everything from leave approvals to timesheet management was manual and paper-based, and payroll processing could take up to two days each fortnight, including chasing and confirming approvals. It created inefficiencies, increased the risk of errors, and made compliance reporting a real challenge.”

Choosing a future-ready payroll solution

Recognising these challenges, Shire Christian School set out to find a centralised and reliable solution for its people and payroll. The school required a platform that was education-focused, proven to work in school environments, and capable of eliminating manual processes, while improving accuracy and scalability for future growth.

Over the course of a year-long search, the school evaluated several providers, including Aurion and several other payroll and HR platforms. After careful consideration, Shire Christian School selected Aurion due to meeting all the school’s key criteria. It had a strong focus on education, a reputation for delivering resilient payroll solutions in schools, and a transparent consultative approach. Aurion also offered competitive pricing and the ability to consolidate everything into a single database, supported by experienced implementation partners who understood the complexities of school operations.

A smooth implementation journey

The implementation process was a structured, partner-led initiative, designed to minimise disruption and to ensure a seamless transition for Shire Christian School. Damien Lumby from Leaders Consulting Services handled the technical setup, configuration, data migration, testing, and user support for Aurion’s HR/payroll system, while Anne Haywood from AH Consulting provided project leadership, coordinating tasks, overseeing milestones, and guiding the rollout to meet the school’s operational needs.

Both brought extensive experience in the education sector, allowing them to provide practical guidance and break down each step clearly. This approach kept the school confident and well-supported throughout the project.

Their implementation process involved the following:

  • Discovery and planning: Workshops to understand existing processes, configuration and application, identify pain points, and discuss proposed solutions.
  • Configuration and testing: Tailoring Aurion to meet the school’s unique requirements, including term-time payroll cycles, casual staff management, end of year processes and complex leave entitlements and calculations. This was followed by internal testing for accuracy and compliance.
  • Training and change management: Online Payroll training session delivery and internal Staff training to help staff adapt to new digital processes and workflows.
  • Go-live and support: A structured rollout over the Go-Live period, with regular check-ins. The focus was on minimising disruption while maintaining momentum, with post-implementation support to resolve any issues promptly.

By following this framework, Shire Christian School transitioned smoothly from manual processes to a more simplified and centralised people and payroll platform with confidence and clarity.

“The Aurion implementation was successfully delivered in full, to scope and on budget, with all key deliverables achieved. Strong collaboration, openness, and a shared commitment to outcomes characterised the project, with LCS working closely alongside a well‑prepared Shire Christian School team and trusted external expertise by Anne Haywood from AH Consulting. This approach supported a smooth delivery experience and an excellent outcome for the school.”
– Damien Lumby, Leaders Consulting Services

“Delivering a smooth, stress‑free transition was a key objective. The successful completion of Shire Christian School’s first Aurion pay run was an excellent achievement and provided a platform to redefine and streamline existing business processes.”
– Anne Haywood, AH Consulting

Delivering simpler & smarter payroll

Since implementing Aurion, payroll processing is faster and more accurate, freeing up time previously lost to manual data entry and reconciliation. Leave requests and approvals have shifted from paper to streamlined digital workflows, improving transparency and responsiveness for teachers and staff. Operating on a single, centralised database has reduced duplication and error rates while strengthening compliance and reporting.

The school is now positioned to introduce further improvements without compromising stability. With Aurion as the core people and payroll platform, and with experienced partners in place, Shire Christian School has built a resilient foundation that aligns with its educational mission and operational needs.

Looking ahead, the school plans to build on this success by deepening integrations with existing systems and exploring automation opportunities to make people and payroll management even more seamless for staff and administrators. The combination of an education-focused platform, consulting support, and a centralised, future-ready solution has enabled Shire Christian School to modernise its people and payroll operations while maintaining the reliability and simplicity required in a busy school environment.

“Our previous system was designed for student administration, not for the complexity of managing people and payroll. Everything from leave approvals to timesheet management was manual and paper-based, and payroll processing could take up to two days each fortnight, including chasing and confirming approvals. It created inefficiencies, increased the risk of errors, and made compliance reporting a real challenge.” - Jesse Bass, Finance Manager, Shire Christian School
